President's Report No 29

Monday 22 January 2018
There was a lot of preparation this week with all the up-coming fundraising events including the Book Fair, Fourth Night at the Night Jar Market and the Cadel Evans Great Ocean Road Race, all taking place over the Australia Day long weekend.
My sincere thanks to all members who have all worked so hard to make these events a success and fund our Rotary Club projects.

Our club was awarded a Certificate of Achievement at the Surf Coast Shire Australia Day Awards for last year’s Rotary Motor Show.

Because most members have been working solidly over this weekend there will be NO meeting on 29th January – it’s a night to recuperate and spend time with family.

Committee Planning Meetings
The club divided into four “Avenues of Service” groups - Community, International, Vocational and Youth to discuss implementation of one short-term project and one long-term project for each of these areas. The summary of these meetings will be included in the strategic plan.

A Few Points from the Board Meeting
  • Our club will purchase a “tread”, with our name on it, at the new Jan Juc Lifesaving Club.
  • “Whoozin” will become the new RSVP system for our club (via email). Training will be provided by Greg Plumridge on 19th February.
  • Our club’s EFTPOS machine is up and running – thanks to Lesley Shedden.
  • If you have any form of food allergy please notify the caterers – preferably in writing.
  • We are to start putting together a Procedure Manual for the club. Can all directors and event organisers please write short procedures and forward to me at gaynor.schols@gmail.com for inclusion. This will be useful for all future members and boards as essential knowledge is often not passed on adequately.

District Conference 6-8 April, Mt Gambier Civic Centre
District conference is a wonderful occasion to get together with other D9780 clubs, learn and have fun. The full registration cost (including the dinner) is $210 per person. Hopefully a large group from our club will attend this year and it is now time to register at www.rotary9780conference.com.au

President Greg Cooke is also running a conference tour at $299 per person. If you are interested go to https://cookesgreatescapes.com.au/2017/04/01/rotary-district-9780-conference-tour-2018-mount-gambier/

Monday 5th February 2018: Planning for Motor Show
If you are unable to volunteer on Sunday 11th Feb please let Lesley Shedden know immediately. Motor Show duties will be assigned and explained at the club meeting on 5th Feb. so it’s important for all volunteers to attend.

Day One     Sales and donations on day two of the Book Fair    = $4,719

Day Two     Sales and donations on day one of the Book Fair    =  $2,182. .

Day Three   Sales and donations on day three of the Book Fair  =   $1,086

Total Sales over 3 Days                                              $7,987

Please remember that you can all take a well earned night off this Monday Night. There will be NO weekly meeting as a result of this huge effort.

It's Motor Show time! Sunday 11th Feb

This year's Motor Show will be rolling in quickly following our busy BBQ, Book Fair and Night Jar Market Parking. Please think about your availability and what task you may be interested in performing on the Day. Vernon and Lesley will be compiling the Draft Roster for volunteers during the next couple of weeks.
Please also canvass Partners, Friends and Family who may be able to assist us.

Please contact Vernon 0408 331661 or Lesley 0417 112064 if you are unavailable or have any additional helpers to enlist.

We expect more than 300 Vintage, Veteran, Classic and Contemporary Cars and Motor Cycles to compete for trophies in 26 Classes including a new class for Best Volkswagen.

Spectators will have the opportunity to get up close and personal with these stunning automotive gems. You will be in awe of the craftsmanship that has gone into both the original design & the manufacture of these much-loved vehicles and the restoration skills of the passionate owners who have lovingly cared for them.

There has been some additional tweaking of Classes to even out entry numbers so we encourage everyone to visit our website to take a look at the revised Entry Form.

You are invited to join in the carnival atmosphere of this popular event held at the spectacular beach side setting of the Torquay foreshore.

This is a “Show for the whole family” with, the Beach for the kids, the Shops for the Ladies and the Cars for the Boys!

Entry Fees remain the same for 2018 at $20 for car & driver, with Adults $5 & Children free.
Many attractions will be available to entertain, plus food, good coffee, refreshments & memorabilia on sale.

This event is proudly supported by the RACV & other local traders with proceeds from the event to be used for Local, National and International Rotary projects.

BBQ & Night Jar Parking - Update

You will have now received a completed 2017-18 BBQ Roster Spreadsheet via email. The Roster is also saved in Clubrunner Club Documents or Click this link BBQ ROSTER

Thanks you for your hard work with the first 2 Night Jar Market Parking Nights.

  •  NIGHT 1   The number of vehicles counted through the entry was 788. Donations by those visitors was $1619.50. We are told, by our bean counters, that is an all time record. And the $2.05 per vehicle seems to me to be a very good average.
  • NIGHT 2  We parked 552 vehicles. Takings were $1335. That is 2.41 per vehicle.
With events coming thick and fast please keep a close watch on the Roster to see when you are on.

If you are unable to do your rostered session then please find someone to swap with and advise me of the change.

Thanks Brian

Dinner Meeting Registration & Apologies

MEETING APOLOGIES - What do I do?

Notifying someone about changes to your meeting attendance is your responsibility!

Our meetings have catered dinners, so if you are unable to attend a meeting, or if your partner is unable
to attend a designated Partner's Night, YOU MUST ADVISE us of your or your partner’s absence.
This also applies if you are attending the meeting but not dining.

There are two ways to do this, either record the information in advance in the "Apology Book"
that is available at the check in table at each meeting or telephone 03-5222-2022.
An answering service operates out of hours.
  • All apologies must be made no later than 9.00AM on the Monday of the meeting (unless other arrangements
  • were addressed in the Bulletin).
  • If no apology is recorded by that time, the absentee member will be issued with an invoice to pay the Club the
  • usual dinner fee of $25 for your non-attendance, and/or that of your partner if it is an official Partner's Night.

  • On "Partners Nights" it is a different arrangement as it will be assumed that your partner WILL BE attending unless you apologise for them!
Remember if you are bringing guests or your partner (to a non-partner night) you need to notify us of the extra number of persons who will be attending.

Absence when away on travel is not an excuse.  It is your reasonability to lodge your apology and it is recommended that this
be recorded beforehand in the “Apology Book” to save you remembering each week whilst you are away.
